Record Transfer Procedures

Contact the Records and Information Manager to arrange for the pickup of boxes to be imaged. Each box must have an inventory sheet attached. The inventory sheet must include the following information:

  • A description of the contents of the box. The description should identify the records series (as itemized on the office's Records Retention Schedule), the dates of the records and the number of the box shipped (i.e. Box 3 or Box 3 of 20).
  • A description of how the office would like to receive the electronic images or microfilm copies.
  • Contact person's name
  • Whether the record is to be destroyed from the Records Center once it is imaged or if it is to be returned to the office of origin.

Records can also be transferred via thumb drive or OnBase. Contact the Records and Information Manager before transferring records digitally.
